THE RULE IS SIMPLE!
We protect your personal data just as if they were ours.
We minimized information necessary for delivering satisfactory service.
Remember, that you have control over all information given to us.

 

1.Who is the administrator of your personal data?

The administrator of your personal data is company EL LIBRE SP. Z O.O. [Ltd.] with the seat in Warsaw, ul. Poznańska 7, local 5, 00-680, NIP 8212638912, REGON: 146737210, KRS: 0000466910, that conducts hotel activity in the facility of Chillout Hostel on ul.Poznańska 7/5, 00-680 Warszawa.

2. Who is responsible for collecting, processing or archiving your data?

The Inspector of Personal Data is President of Board of EL LIBRE SP. Z O.O. – Arkadiusz Wojdyła.

3. What is the purpose of collecting personal data?

Your personal data are being processed so that you can use our hotel service – based on Art. 6 par. 1 lit. B of the General Regulation on the Protection of Personal Data of 27 April 2016.
Only entities authorized by law and entities engaged in realization of service will be allowed to receive your personal data. Personal data processing is necessary for:
accepting and managing your reservation
delivering requested service
contact with guest before and during the service
receiving your feedback regarding the service
issuing and keeping invoices and accountant documents
giving answers to your questions and complaints on time

4. Marketing permission

Minimum is minimum. We do not ask you for accepting marketing permission, because we do not intend to send spam or any other marketing content.

6. Passing your data to other subjects

We do not pass personal data outside European Area. Both our company and our partners are registered on the territory of European Economic Area. We DO NOT sell and we WILL NOT sell your personal data to other subjects. Your first and last name, email address, credit card data are safe with us. You put trust in us which is most valuable for us and we will do our best not to let you down.

As far as providing satisfactory service is concerned, we are allowed to pass your data to our partners, to provide security to both you and us:

  • Customer Alliance – platform that ensures secure contact between you and the hostel manager.
  • HostelSystem.com – an internet platform and one of our most trusted partners, responsible for handling your booking, providing secure booking process and correct communication between us.
  • Fakturownia.pl – platform we use to issue invoices.
  • Elavon – our payment service provider. We will only transfer your information to our provider for the payment process in accordance with the booking rules, pre-authorization process of your card, refund or in case of complaints.
  • Tax and Accounting Office – for correct booking and settlement of the contract concluded with you.
  • Public Administration Bodies (including, for example, the Internal Security Agency, Police, Ambulance Service, Border Guard or Consular Offices) to ensure the safety of you, us, other guests.

7. Storing your personal data

Your personal data is processed from the time the service is ordered to the end of its implementation period, and then stored for a maximum period of up to 3 years. At the end of the service, your data is archived by us.
We can process your data after the service is done only to meet your legal and tax obligations, or if you ask us for it.

8. Your data, your rights, your voluntary decision.

Remember that it is you who decides who collects your personal data, for what purpose it is processed and you have a right to:

access to the content of your personal data
correct your personal data (correct or supplement)
limit processing of your personal data
remove your personal data from our collections.

9. You can but you do not have to provide personal information.

You have the right to decide if you want to entrust us with your personal information. You can also choose which data you would like to give us. You also have the full right to delete your personal data previously provided.

We respect your privacy and we give you a choice. We have limited the amount of personal data that we collect from you. However, some of this data is necessary for us to provide a hotel service and fulfill your civil-law contract. Therefore, refusal to provide some personal data or delete them during the term of our contract may result in the refusal or interruption of the service.

10. Cookies

The website does not automatically collect any information, except for information contained in cookie files.
Cookies (so-called “cookies”) are IT data, in particular text files, which are stored in your device and are intended to use our site. Cookies usually contain the name of the website from which they originate, their storage time on the end device and a unique number.
The entity placing cookies on your device and accessing them is the operator of this website.

Cookies are used to:

a) adjust the content of our site to your preferences and optimize the use of our site. In particular, these files allow you to recognize your device and properly display the website, tailored to its individual needs;
b) create statistics that help to understand how our users use the site, which allows improving its structure and content;

The Website uses two basic types of cookies: session cookies and persistent cookies. Session cookies are temporary files that are stored on the User’s end device until logging out, leaving the website or turning off the software (web browser). Persistent cookies are stored on the User’s device for the time specified in the cookie file parameters or until they are deleted by the User.

Our website uses the following types of cookies:

a) “necessary” cookies, enabling the use of services available on the Website, e.g. authentication cookies used for services that require authentication on the Website;
b) cookies used to ensure security, e.g. used to detect fraud in the field of authentication on the Website;
c) “performance” cookies, enabling the collection of information on the use of Website pages;
d) “functional” cookies, which allow “remembering” the settings selected by the User and personalization of the User’s interface, eg in terms of the language or region of the User’s origin, size of the font, appearance of the website, etc .;
e) “advertising” cookies, enabling users to provide advertising content more tailored to their interests.
In many cases, software used for browsing websites (web browser) allows cookies to be stored in the User’s device by default. Website Users can change their cookie settings at any time. These settings can be changed in particular in such a way as to block the automatic handling of cookies in the web browser’s settings or inform them of each entry in the device of the Website User. 11. We are not always the administrator of your data.

If you make a reservation through the booking site, in fact you transfer your data to this company. It is this company that defines the rules for administering your data and transferring them to third parties. Probably we are the third party who, by virtue of regulating the booking site, has only temporary access to certain data in order to provide the service. We have no influence over what data from the booking page we receive, how this data is administered, we can not modify or delete it.
